Not all quotes are equal. The ones that convert share a few traits worth engineering into every quote you send.
A deposit button, not just a price
The single biggest lever is letting the customer accept and pay a deposit directly from the quote. A quote that collects a 25–35% deposit on acceptance confirms the booking, blocks the inventory, and screens out tire-kickers in one action. A quote that just states a price leaves the booking unconfirmed and the inventory still bookable by someone else.
An expiration date
Quotes without a deadline sit in inboxes indefinitely. A quote that expires in 5–7 days — clearly stated — creates a reason to decide now and, just as importantly, releases the held inventory automatically if the customer does not act. This protects your availability during peak season when every weekend slot matters.
Clear, itemized delivery and fees
Customers abandon quotes when the total is a mystery. Break out the rental subtotal, delivery, setup, and tax so the price feels fair and transparent. Hidden fees revealed at checkout are one of the most common reasons a near-closed booking falls apart.
Line items that upsell
A quote is a sales document, not just a price list. Adding relevant add-ons — linens with tables, a generator with lighting, setup service with a tent — raises the average booking value and often closes because the customer sees the complete package rather than a bare minimum.
